Academic to Financial Organization Mapping

The purpose of the Academic to Financial Organization Mapping collection of dashboards is to illustrate and report the mapped connections from the Student Information System (SIS) academic course subjects and student academic plans to the Kuali Financial System (KFS) financial organization structures. These mappings are the foundation for the analysis and presentation of academic data such as classes, courses, student credit hours, and majors to establish linkages to HRMS FTE data and KFS budget and cost data across all AM360 dashboards. 

The Course Subject to Financial Organization and Student Major to Financial Organization tabular dashboards provide additional information to identify and differentiate course subjects and student academic plans that are no longer active, that did not have any recent enrollments, have not yet been mapped to financial organizations, and/or to isolate KFS organizations to which codes/plans have been mapped but which have subsequently been inactivated.

Revenue and Expense Detail

The purpose of this set of dashboards is to provide academic RC administrators a comprehensive view of operations for the recent past and current fiscal years, across all operating fund groups.

This data set allows users to analyze:

• Trends in overall revenues and expenses, and the relative size of operational elements across fund groups.
• Any anomalies and shifts in operational composition over time.
• Includes drill-down capabilities, allowing the user to progress down through the revenue and expense aggregations from overall totals to object code detail:
  • Funds included: General fund, Designated funds, Restricted funds, and Auxiliary/service enterprises
  • Aggregation drill downs: Overall Revenue/Expense > Consolidation > Level > Object Code
• If initiatives to change activity in any particular group have been successful.
• Supports collective or differentiated review of one, multiple, or all operating funds.
• Provides a means for selecting one or more departments within the school/college and reviewing their operating trends across one or more operating funds.

Revenue and Expense Summary

The purpose of this set of dashboards is to assist campus administrators in easily assessing and comparing the fiscal health of one or more academic schools/colleges.

This data set allows users to analyze:

• High-level (consolidation) net operations trend information for the recent past and current operations across all operating funds.
  • Funds included: general fund, designated funds, restricted funds, and auxiliary/service enterprises.
• Overall operating revenue/expense variances from the adjusted base budget.
  • Prompts consideration of needed changes to mix of revenue sources and/or plans to contain certain types of expenses.
• Net operating income by school, and revenue and expense by consolidation over the past four fiscal years plus current.

Cash and Fund Balances

The purpose of this workbook is to illustrate cash and fund balances by fund group and sub-fund group for academic Responsibility Center (RC) administrators. This workbook highlights aggregate and component cash and fund balance trends for the recent past and current fiscal year.

This data set allows users to analyze:

• Trends in their overall net worth and liquid resources available for strategic investment.
• Detailed cash balance reviews where administrators can identify instances where they might leverage access funds and/or take corrective action where subsidization is needed.

Net Operations and Budget Variance Analysis

The Net Operations and Budget Variance Analysis workbook was designed to provide academic leaders and administrators a variety of perspectives on fiscal operating results and budget-vs-actual variance analyses for their current operating (general, designated, restricted and auxiliary) funds. 

It helps to answer questions such as:

Net Operations

• What were the overall trends in net operations (“actual” revenues less expenses) over the past several years?
• Have there been significant shifts in the underlying consolidations/levels for revenues or expenses impacting “the bottom line”?  What are the amount and percent changes in those components, by year?
• Are net operations by fund group and/or subfund group fluctuating over time?
• How do current year-to-date operating results compare to the same month in prior years?
• What shifts in expenditures have occurred in my subordinate organizations over time? By fund group?
•  How do Department “X” operating trends compare across campuses?

Budget Variances/Operating Statement

• Have the variances of budget less actual revenues/expenses increased or decreased over time?
• Where are the largest variances occurring, by revenue/expense consolidation?
• How significant are variances between actual operations and the current, adjusted base and July 1 budgets each year?
• To what degree have the adjustments to the July 1 budget shifted over time for both the adjusted base and current budgets?
• Is the current year-to-date available balance in keeping with prior years’ operations at the comparable point of the year?

Available Student Fee Income for Academic Responsibility Centers

The purpose of the available student fee income for academic Responsibility Centers workbook is to provide Bloomington academic RC views of the composition of, and relationships between, student fee income and student support costs the schools directly control, including the degree to which schools have provided direct benefit to students in the form of financial aid and graduate health insurance over the most recent five academic years.

 This data set allows the user to analyze:

• Trends in the mix of tuition received, student support funded within the schools, and "net income available" (tuition less support), by school and student career/student level.
• Calculation of "net income available" as a percent of fee income distributed to the schools, differentiated by student career/student level.
• Composition of instructional fee income received by student career, student level, and student residency (where applicable).
• Composition of student support provided in the form of financial aid, by student career, and student residency (where applicable).
• School distribution of student support provided, by fund, and subfund group.
• Through user-option to include/exclude program fee income and/or graduate health insurance costs, impact those items have on the overall revenue and student support trends over time.

 The instructional fee income and undergraduate student financial aid costs managed at the campus level are not included in the above views, but will be incorporated into future releases.
